    Conduct meetings to ensure they are focused, time efficient and achieve outcomes

    Effective meetings foster teamwork and promote positive communication. A meeting should have clear goals and follow appropriate meeting conventions. A good meeting needs an effective chairperson or facilitator.

    When meetings are effectively run, everyone enjoys participating and being part of a productive team. New ideas are generated, and projects are successful.

    Effective meetings are about maximising positive contributions and fostering productive communication between all participants. An effective facilitator, who keeps participants on track, ensures the accomplishment of expected, desired results from the meeting. They use the work they have asked to be done in the meeting, they involve each participant, and they create an effective meeting follow-up plan.

    However, sometimes a meeting can be a waste of time and money. This will happen because:

    • Nothing gets decided

    • The participants don't stick to the subject

    • Preparation has been inadequate

    • The chair is ineffective

    • Nobody listens

    • Participants are long-winded

    • The meeting goes too long

    • Nobody participates

    In order to make the meeting effective you will need to:

    • Make sure you have prepared for the meeting

    • Choose the right venue

    • Have management support

    • Ensure the meeting runs to time

    • Keep accurate records of the meeting

    • Report the outcomes to the appropriate people

    • Ensure participants stick to the subjects

    • Follow-up to ensure that all the tasks generated by the meeting are completed

    To be effective in the role of Chair, or as meeting facilitator you need to know people work and communicate. When a group comes together to share information and make decisions the facilitator or chair needs to be aware of what is happening in the room. The behaviour of people in groups can be unpredictable.

    Non-verbal language

    The types of interpersonal communication that are not expressed verbally are called non-verbal communications. These include:

    • Body Movements (Kinesics)

    • Posture

    • Eye Contact

    • Para-language

    • Closeness or Personal Space (Proxemics)

    • Facial Expressions

    • Physiological Change

    The Chair needs to be alert to more than what is said in a meeting. Non-verbal language is very important. Our true feelings often surface in non-verbal behaviours. The astute facilitator 'reads' the entire picture and may be able to seek a fuller explanation or expose reservations with the aim of reaching a quality decision. It is important to pay attention to:

    • The way things are said, including the tone, pitch and speed of the voice, and any hints of irony or sarcasm

    • Where participants sit

    • Who they sit with and who they avoid

    • How they sit (posture)

    • Eye contact

    • Gestures

    • Fidgeting

    • Wandering eyes

    • Yawning

    • Repeatedly glancing at the time

    • Frowns

    • Scowls

    • Grimaces

    • Shuffling feet

    • Throat clearing
